Use Zoom AI Meeting Summary to Retain Required Training Content

What This Does

Zoom's AI Companion automatically summarizes training sessions, in-service meetings, and IDT (interdisciplinary team) meetings — so you don't have to take detailed notes during mandatory facility trainings and can focus on the content instead.

Before You Start

  • Your facility uses Zoom for virtual meetings or training sessions
  • Your facility's Zoom account has AI Companion enabled (most paid plans include this — check with your manager if unsure)
  • You're attending a Zoom meeting (or the host has AI Companion enabled)

Steps

1. Join the Zoom meeting as usual

Open Zoom and join your facility's training session or IDT meeting.

2. Enable or confirm AI Meeting Summary is on

If you're the host or co-host, click the AI Companion button in the meeting toolbar at the bottom of your screen — it looks like a small star/sparkle icon. Click Meeting Summary and toggle it on. A notification will appear to all participants that AI is recording a summary (note: this is a summary, not a full recording of audio — different from the recording function).

If you're not the host, the summary will be available to you if the host has enabled it for the meeting.

3. Participate normally

You don't have to do anything during the meeting. AI Companion captures key topics, decisions made, and action items in the background while you focus on the training content.

4. Access the summary after the meeting

Within a few minutes after the meeting ends, Zoom sends the summary to your email. It includes: key topics covered, main points per topic, any action items identified, and a brief overview of what was discussed. The email comes from Zoom — check your inbox or spam folder.

Real Example

Scenario: Your facility's infection control nurse runs the annual Hand Hygiene in-service over Zoom. You attend during your lunch break and need to remember the key points for your annual competency sign-off.

What happens: AI Companion generates a summary covering: updated WHO hand hygiene moments, changes to your facility's glove policy, the new sink stations on Unit 2, and the documentation requirement for hand hygiene audits. You use this summary to review before completing your competency assessment.

What you get: A structured, readable summary you can reference later instead of scattered handwritten notes — or notes you meant to take but didn't because the meeting ran long.

Tips

  • If your facility doesn't use Zoom, the same concept applies in Microsoft Teams: look for Teams Premium features or the Intelligent Recap function after a meeting.
  • For IDT meetings, the AI summary is especially useful — you can reference which resident care decisions were made and what follow-up actions were assigned to nursing.
  • The summary does not replace your own clinical judgment documentation — for regulatory purposes, document your own attendance and competency completion in PointClickCare or your facility's training record system as required.

Tool interfaces change — if the AI Companion button has moved, look for similar AI/magic options in the meeting toolbar or check Zoom's Help Center for current navigation.
